Effective: 8 October 2026
This notice explains how Coral Hospitality OS, operated by Mchils Software, handles information in connection with the Coral product, website, demonstrations, support, and customer deployments.
1. Scope
Coral is a hospitality operations platform used by hotels, serviced apartments, hospitality groups, and related operators. A customer organization may configure Coral to process operational information about staff, guests, bookings, rooms, service requests, maintenance, finance, and other hotel workflows.
2. Information we may process
- Business contact information provided for demonstrations, sales, support, onboarding, or account administration.
- Account and authentication information needed to provide access to Coral.
- Operational data entered by an authorized customer, including hotel, staff, booking, guest-service, maintenance, and transaction records as configured by that customer.
- Technical and security information such as timestamps, device/browser data, IP information, audit events, and diagnostic logs where needed to secure and operate the service.
3. How information is used
Information may be used to provide and administer Coral, deliver requested demonstrations and support, maintain security, troubleshoot technical issues, improve reliability and functionality, fulfill contractual obligations, and comply with applicable legal requirements.
4. Customer responsibilities
For customer-deployed hotel data, the customer controls what information is entered into Coral and is responsible for its guest-facing notices, permissions, retention rules, and other legal obligations. Coral does not replace a customer’s own privacy governance.
5. Sharing and service providers
Information is not sold as personal data. Information may be processed by infrastructure, communications, authentication, payment, analytics, or integration providers when they are enabled to deliver the service. Customer-directed integrations may transfer data to systems selected by that customer.
6. Security
Mchils Software uses technical and organizational safeguards intended to protect Coral environments and restrict unauthorized access. No internet service can guarantee absolute security.
7. Retention and deletion
Retention depends on the type of record, customer configuration, contractual requirements, operational needs, backup schedules, and applicable law. Customers may request assistance with supported export or deletion workflows for their deployment.
8. International processing
Depending on hosting and integrations selected for a deployment, information may be processed in more than one jurisdiction. Deployment-specific data-location requirements should be agreed during implementation.
9. Privacy requests
For Coral privacy questions or requests, contact coral@mchilsconsultancy.com. Requests concerning data controlled by a hotel or other Coral customer may need to be handled by that customer directly.
10. Changes
This notice may be updated as Coral evolves. Material updates will be reflected on this page with a revised effective date.
